Whistleblower Policy

1. Purpose

Vietnam Pro Wrestling ("VPW" or "the Company") is committed to maintaining a culture of integrity, transparency, and accountability. VPW upholds the following core values:

This policy outlines the process for reporting concerns related to misconduct or unethical behavior and ensures that whistleblowers are protected from retaliation. The policy applies to all VPW personnel, including employees, contractors, wrestlers, referees, management, and directors.

A copy of this policy will be made available to all stakeholders via VPW’s website: www.vietnamprowrestling.com.

2. Objectives

The objectives of this policy are to:

a) Provide a clear process for whistleblowers to report misconduct.b) Ensure allegations of misconduct are investigated fairly and thoroughly.c) Protect whistleblowers from retaliation.d) Support whistleblowers throughout the reporting process.e) Ensure due process for individuals accused of misconduct.

This policy provides protections for whistleblowers who act in good faith and ensures that reports are properly investigated and addressed.

3. Protected Disclosures

A "Protected Disclosure" refers to reports of serious misconduct or unethical behavior made in accordance with this policy. Whistleblowers are protected if they:

a) Act honestly and with a genuine belief that the information provided is true or likely to be true.b) Follow the reporting procedures outlined in this policy.c) Have not engaged in serious misconduct or illegal activity related to the report.

VPW will take all reasonable steps to protect whistleblowers from victimization or retaliation. In some cases, whistleblowers may also be protected under applicable Vietnamese law.

4. Reportable Conduct

Reportable conduct includes, but is not limited to:

  • Fraud, theft, or financial misconduct.
  • Corruption, bribery, or abuse of power.
  • Bullying, harassment, discrimination, or abuse.
  • Violations of health and safety regulations.
  • Use of illegal substances or other prohibited activities.
  • Breaches of VPW’s policies and procedures.
  • Any actions that threaten VPW’s reputation or operational integrity.

Personal workplace grievances (e.g., disputes with colleagues) are not covered by this policy unless they involve systemic or serious misconduct.

5. Reporting a Concern

A Protected Disclosure can be made through the following channels:

External Whistleblowers

Fans, sponsors, and external stakeholders can report concerns to VPW’s designated Whistleblower Protection Officers (WPOs) via email or phone.

Internal Whistleblowers

Employees, wrestlers, referees, and management may report concerns by:

a) Speaking directly with their immediate supervisor.b) Contacting a Whistleblower Protection Officer (WPO) (listed in section 6).c) Submitting a written report via email or secure submission channel.

d) Discussing the issue confidentially with a supervisor or WPO before deciding to make a formal report.

If a report is made anonymously, VPW will investigate the matter to the extent possible based on the available information.

6. Whistleblower Protection Officers

VPW’s Whistleblower Protection Officers (WPOs) are responsible for safeguarding whistleblowers, assessing their protection needs, and ensuring fair investigations. The WPOs for VPW are:

7. False Reports

Knowingly making a false or malicious report is a serious offense. Anyone who does so may be subject to disciplinary action, including termination of employment or contracts.

8. Confidentiality & Privacy

VPW will make every effort to keep a whistleblower’s identity confidential unless:

a) The whistleblower consents to disclosure.b) Disclosure is required by law.c) Disclosure is necessary to prevent harm or address a legal claim.

d) Disclosure is required as part of an internal investigation but only to those necessary to address the issue.

Supervisors and managers who receive whistleblower reports must not disclose them to anyone except a WPO or the Management Team.

9. Investigation Process

Upon receiving a whistleblower report, VPW will:

  1. Determine if an investigation is required.
  2. Appoint an independent investigator if necessary.
  3. Gather relevant evidence and interview involved parties.
  4. Apply principles of procedural fairness and natural justice.
  5. Recommend appropriate action based on the findings.
  6. Notify the whistleblower of the outcome, where possible.

10. Record-Keeping & Accountability

VPW will maintain a Whistleblower Register to track reports, investigations, and outcomes. The Management Team will:

a) Ensure the whistleblower policy is communicated to all personnel.b) Oversee the investigation process.c) Maintain confidentiality and protect whistleblowers from retaliation.

d) Ensure that records of whistleblower reports and investigations are securely maintained.

11. Protection from Victimization

VPW prohibits retaliation against whistleblowers. Any employee, wrestler, or contractor who victimizes a whistleblower may face disciplinary action, including termination. VPW will investigate all reports of victimization.

12. Review & Updates

This policy will be reviewed annually to ensure compliance with legal standards and best practices. Any updates will be communicated to all VPW stakeholders.

Vietnam Pro Wrestling (VPW) Grievance Redress Policy

1. Purpose

Vietnam Pro Wrestling ("VPW" or "the Company") is committed to maintaining a fair, transparent, and accountable grievance redress process. This policy provides a structured mechanism for stakeholders to raise concerns, ensuring they are heard, addressed, and resolved effectively.

This policy applies to all VPW stakeholders, including but not limited to wrestlers, staff, contractors, fans, sponsors, and business partners. It enables stakeholders to report concerns related to ethical conduct, workplace grievances, safety issues, or any other matter affecting their engagement with VPW.

2. Raising a Grievance

If any individual has a grievance or concern regarding VPW’s operations, events, policies, or conduct, they are encouraged to address it through the following process:

Step 1: Direct Resolution

Whenever possible, the concerned party should attempt to resolve the issue informally by discussing it with the relevant individual or department within VPW.

Step 2: Formal Submission

If the concern cannot be resolved informally, or if the individual is uncomfortable addressing it directly, they may submit a formal grievance via one of the following channels:

The formal submission should include:

  1. Name and contact information of the sender (unless choosing to remain anonymous).
  2. Nature of the grievance, including relevant details and supporting documents.
  3. Date of the incident (if applicable).
  4. Desired resolution or outcome (if applicable).
  5. Any additional relevant information to support the claim.

VPW ensures that all grievances will be acknowledged within seven (7) business days and processed in a timely manner.

3. Investigation and Resolution

Once a grievance is received, VPW will follow a structured process to investigate and address the issue:

  1. Acknowledgment – VPW will confirm receipt of the grievance and outline the next steps.
  2. Investigation – The grievance will be assessed by an appropriate VPW representative, ensuring fairness and impartiality.
  3. Stakeholder Engagement – If necessary, VPW will communicate with relevant parties to gather additional information.
  4. Resolution – After a thorough investigation, VPW will take appropriate action and communicate the outcome to the complainant (if identity is known).
  5. Appeal – If the complainant is not satisfied with the resolution, they may request a review or appeal the decision within ten (10) business days of receiving the response.

4. Confidentiality & Protection Against Retaliation

VPW respects the confidentiality of all grievances and will take necessary steps to protect the identity of individuals who report concerns. No person shall face retaliation, discrimination, or negative consequences for raising a grievance in good faith.

5. No Cost for Filing a Grievance

There are no fees or costs associated with submitting a grievance to VPW. All concerns will be handled impartially and professionally to maintain fairness and accountability.

6. Review and Updates

This policy will be reviewed annually to ensure it remains relevant and effective in addressing stakeholder concerns. Any updates will be communicated to all VPW stakeholders through official channels.
